Location: Boston, MA – Hybrid Onsite (2 days/week)
Job Type: Contract
Duration: 12 months to start

Job Description
We are seeking a Business Application Specialist with expertise in planning, implementing, and sustaining a Grant Management System. In this role, you will work closely with internal stakeholders, including program managers, finance teams, and compliance staff, to optimize the Grant Management System and ensure that they meet the needs of the client's diverse grant programs. Your initial focus will be business process analysis, workflow design and governance, instrumentation of metrics for data analysis, and the ongoing adoption and enablement of grant management system capabilities across a large and diverse user base. Implementation and management responsibilities will grow with new business applications.

RESPONSIBILITIES
  • System Planning: Work with internal stakeholders to understand our organization's grant program requirements, pain points, and opportunities for process improvement. Collaborate with internal and external users and technical teams to develop a system implementation roadmap that aligns with the client's goals and timelines.
  • Business Process Analysis: Conduct detailed business process analysis to identify opportunities for process improvement within SmartSimple, our selected Grant Management System. Develop recommendations for system optimization, workflow design, and service delivery enhancements based on your analysis.
  • Workflow Optimization: Develop efficient workflows within SmartSimple that improve operational efficiency, reduce error rates, and conform to reporting and other compliance requirements.
  • User Education and Support: Provide user education materials, documentation and consultative support to stakeholders to ensure effective usage of SmartSimple. Design and launch a lightweight onboarding experience so that new programs can launch successfully with a minimum of complex decision-making.
  • Vendor Relationship Management: Act as the primary contact for our software vendor. Facilitate communication, address business issues and remain aware of opportunities to use the vendor’s new features and capabilities to deliver value.
  • System Maintenance and Updates: Ensure that SmartSimple is well-maintained and up-to-date. Plan and execute system updates, perform regular system maintenance, and troubleshoot system issues as they arise.
  • Compliance and Data Management: Ensure that the SmartSimple configuration is compliant with regulatory requirements and data management best practices. Develop data management procedures, perform regular data validation, and develop comprehensive reports to support compliance, financial reporting, and grant monitoring activities.
  • Platform Integration: Integrate SmartSimple with other internal systems to remain compatible with data integration and security standards.
  • Perform other similar duties as required.
REQUIREMENTS
  • Domain experience: Minimum of 2 years of experience in planning, implementing, and sustaining enterprise applications that require complex business process workflow configuration. Experience with Grant Management Systems is highly desirable. Specific experience with SmartSimple is an added plus.
  • Business Process Analysis: Strong experience in conducting business process analysis, developing process maps, and designing workflows that support efficient and effective service delivery.
  • Technical Expertise: Strong understanding of SaaS-based enterprise applications, database structures, and integration capabilities. Proficiency in system configuration, workflows, user roles, reporting, and customization options.
  • User-Centric Approach: Strong ability to gather and analyze user requirements, conduct needs assessments, and translate them into system configurations that address user needs and improve operational efficiency.
  • Problem-Solving: Proven track record of effectively troubleshooting system issues, identifying root causes, and implementing appropriate solutions.
  • Project Management: Experience in managing system enhancement projects, including requirements gathering, stakeholder coordination, task prioritization, and timeline management.
