Job Description
  • Project Coordination & Support
  • Provide assistance on project deliverables including MS project, Milestone Pro, Visio, PowerPoint, meeting and event coordination
  • Assist team leaders in planning meetings, taking & distributing minutes and following up on action items and deliverables as required
  • Review project status and prepares status reports
  • Provides solutions to routine project questions and issues related to project milestones and deliverables ensuring that projects remain on schedule while meeting quality expectations and client-satisfaction goals
  • Assist Head of SPPM with project assignments as identified
  • Support SPPM with: Monthly reporting requirements, calendaring, project timelines, action item follow-up, etc.
  • Collects and prepare information for use in discussions/meetings
  • Work with the SharePoint Team Site ensuring site is up to date and accurately categorized
  • Makes high-level contacts of a sensitive nature inside and outside the company.
  • Reviews and answers project questions and inquiries on own initiative and determine within established guidelines what action is required.
  • Coordinates activities between SPPM and other functions 10% Administrative Support Provide a range of administrative duties supporting Head of SPPM including but not limited to: Meeting agendas, presentations, reports and follows up on action items
  • Take and maintain minutes for meetings as required
  • Drive contracting process for SPPM (ensure POs are well executed) 40% SPPM Support
  • Active participations in the SPPM team, strategic initiatives team and PM forums to deliver SPPM initiatives and build a center of program and project management excellence
  • In collaboration with the SPPM team, facilitate and coordinate brain storming sessions to increase SPPM maturity
  • Establish guidance documents and maintain Sharepoint site to educate organization on   Program and Portfolio Operating Model
  • Liaise and coordinate with SPPM Assistant to ensure optimal interaction with other staff/departments

Skills
  • Attention to detail and exceptional customer service skills are required
  • Conveys a sense of urgency and drives issues to closure; persists despite obstacles and opposition Strong working knowledge of MS Office Suite especially Outlook, Word, Excel, MS Project and PowerPoint
  • Must be able to interact and communicate professionally with individuals at all levels of the organization
  • Consistently demonstrates respect for people and relates to people in an open, professional, and encouraging manner
  • Must be able to work in a fast paced environment with demonstrated ability to handle multiple competing priorities, tasks and demands
  • Excellent written and oral communication skills
  • Works independently, takes initiative and completes tasks to deadlines as required
  • Excellent time management, planning and organizational skills are required
  • Provides quality information & objective perspectives during meetings & maintains accurate records of discussion points

Education           
  • A minimum of 3 years project management support experience
  • Experience in meeting planning, project support and event coordination
  • Experience working within a high paced fluid environment
  • Experience with contracting/PO management is desired
  • Bachelor’ s Degree highly preferred
