Job Description
Our client is seeking an experienced Senior Leave Management Specialist to join the Benefits and Leave of Absence team at our Waltham, MA location, expected to work onsite a minimum of three days per week.

Reports to: Associate Director, Benefits

Primary Job Duties:
The Senior Leave Management Specialist areas of primary focus will be to lead the RFP process, explore leave and disability administrators, and implement selected finalist in collaboration with internal departments including: Legal, Finance, and Human Resources.

Leave of Absence Management
Effectively manages the outsourced leave of absence administrator (third-party) and oversees entire end to end leave of absence process as detailed below:
  • Identifies trends and recommends program, policy or administration changes as needed
  • Serves as internal subject matter expert on ADA, state and federal FMLA policies, Short and Long-Term Disability Policies
  • Ensures compliance with all federal and statutory regulations and company policies; conducts research as needed and stays abreast of changes
  • Provides coaching, guidance and advice to managers, employees and HR Business Partners relative to leave claims/requests, modified work schedules, return to work and timely completion of required paperwork
  • Sends timely internal email communications to managers and HR Business Partners regarding employees’ leave of absence status (i.e. anticipated leave, anticipated return to work, return to work with accommodation)
  • Partners with Payroll to ensure accurate and timely pay and with HR Business Partners and Legal colleagues as needed
  • As applicable, conduct the ADAAA interactive process with employees and medical providers and assist managers and HR Business Partners in the process; partner with internal departments as needed for accommodations support (e.g. Facilities, IT)
  • Liaise with Company’s employee resource group, Limitless, which supports individuals and caregivers impacted by disability or illness
  • Maintain up-to-date leave of absence content, policies and communications
  • Manage leave of absence content posting on Company’s intranet
  • Administer executive disability benefits (eligibility, application, communication with third parties)
  • Manages leave of absence and disability-related billing and invoices
  • Maintains internal leave of absence tracking and reporting and updates internal system (i.e. LMS flag) to ensure compliance with employee training requirements
  • Provides scheduled quarterly reports and ad-hoc reports for internal partners
  • Oversees third party leave administrator to ensure accuracy and excellent customer service; acts as liaison for employees and managers with third-party leave administrator; closely manages escalations and complex leaves
  • Creates content to train managers on leave of absence program and facilitates training
  • Supports team by presenting the Benefits Presentation at New Employee Orientation
  • Participates in team Annual Enrollment project and benefits/wellness events as-needed (e.g. coordinating presentations/schedules, testing systems, participating in fairs/screenings, etc.)
Additional Duties as-needed to Support Benefits Function:
  • Serve as an additional resource to help with testing of new benefits/ life event software, billing and reconciliation for benefits programs, posting to HR intranet (e.g. well-being content), Affordable Care Act testing and compliance and other projects as identified/assigned
  • Provides benefits administration for programs including medical, dental, vision, life insurance, long-term disability, 401(k) savings plan, flexible spending accounts, health savings accounts, time off programs, work/life programs, voluntary benefits and tuition reimbursement
  • Creates content for internal and external promotion of programs
  • Provides policy interpretation and assistance with understanding plan documents
  • Supports employees with benefits matters and claim issues
  • Ensures compliance and maintenance of plan documents and policies
  • Implements and administers global wellness programming
  • Participates in and supports renewal discussions
  • Supports annual open enrollment, benefits fairs and biometric screenings
  • Presents at new employee orientation and other trainings/supports benefits education needs.
  • Works collaboratively with benefits consultants, vendors and internal stakeholders including IT, HRIS, HR Operations, Payroll, Legal, Communications and IT
 Job Requirements
  • Strong working knowledge and experience with benefits regulations and compliance requirements (e.g. HIPAA, ERISA, ACA, required annual filings, non-discrimination testing), federal and state leave laws and disability programs (e.g. FMLA, ADAAA, MA Paid Family & Medical Leave, USERRA, Pregnancy Discrimination Act, etc.)
  • Excellent customer service through professionalism, ownership and initiative; team-oriented skills
  • Strong oral and written communication skills
  • High attention to detail and follow-through
  • 6-8 years of Leave of Absence and Disability and Benefits administration experience preferred
  • Bachelor’s degree strongly required
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint), Outlook preferred
  • Experience working with HRIS/understanding of data flows preferred
  • Ability to perform job responsibilities with a minimum of supervision in a fast-paced environment
  • Ability to prioritize and multi-task to handle quickly shifting priorities
  • Stays abreast of current various state and federal leave and benefits requirements and trends
  • Ensure accuracy, confidentiality, discretion and security of information being processed, stored or accessed
